OFFICERS

President. 
The President shall be the principal executive officer of the organization and, subject to the control of the Executive Committee and the direction of the membership, shall in general supervise and control all of the activities of the organization.  The President shall be a member of the Executive Committee and, when present, shall preside at all meetings of the membership.   The President shall vote only in the case of a tie in a vote of the Executive Committee or the membership.  The President shall select and appoint the chairpersons of all Standing and Special Committees and shall be an ex-officio member of all committees of the organization.

President-Elect.  The President- Elect shall be a member of the executive committee and, in the absence of the President, shall perform the duties of the President.  The president-elect shall perform such other duties as are assigned by the President or the Executive Committee.  The President-Elect, after having served for one year, shall automatically become the President of the organization.  To be eligible to serve as President- Elect, a person must have been a voting member of the organization for at least one year.

Secretary.  The Secretary shall be a member of the Executive Committee.   The Secretary shall keep the minutes of the proceedings of the membership and the Executive Committee, shall receive from the Treasurer the list of Regular Members who have paid their dues and prepare the official list of Voting Members, shall see that all notices are duly given in accordance with these Bylaws and, in general, perform all duties incident to the office of Secretary and such other duties as may be assigned by the President or the Executive Committee.

Treasurer.  The Treasurer shall be a member of the Executive Committee.  The Treasurer shall have charge of and be responsible for all funds of the organization and shall receive and give receipts for monies due and payable to the organization from all sources and shall deposit such funds in such banks or other organizations as are selected by the Executive Committee.  The Treasurer shall make disbursements as authorized by the President, Executive Committee, or membership in accordance with
the budget adopted by the membership.  The Treasurer shall collect all membership dues as are established by the organization and shall certify to the Secretary an accurate list of the Voting Members of the organization.  The Treasurer shall present a written financial report at each General Membership Meeting of the membership and at other times as requested by the Executive Committee.

Reporter.  The Reporter shall be a member of the Executive Committee.  The Reporter shall be responsible for publicity for all events of the organization and shall
act as a liaison between the school and the media.  The Reporter shall keep the official history of the organization and shall keep an annual record of all of the activities of the organization.


COMMITTEES


Book Fair  On this committee we help Mary Lough, MBE Librarian, set up for the Book Fair twice a year.  Ms. Lough has a list of names of people who may want to help; we call the people on the list, and set up a schedule to help her with the Book Fair.

Box Tops from General Mills and Campbell's Labels

Building/Playground  The Playgrounds Committee assists the School community (parents and teachers) in providing a safe and fun place for our schoolchildren to exercise and play.  We purchase new equipment and work closely with  Montgomery County Schools in the appropriate installation and maintenance of the various playgrounds at Margaret Beeks Elementary School.
  
Cultural Arts   The Cultural Arts Committee works to bring a variety of arts and museum programs to our students.  These programs are designed to educate the students and enhance their understanding of the importance of cultural arts in our community and throughout the world. 

Explorations  Explorations is a fine arts contest sponsored by the PTO.  All students are welcomed and encouraged to participate.  We will accept contributions in both the PRIMARY (Pre K-2) and INTERMEDIATE (3-5) divisions.  There will be four categories:  Literature, Musical Composition, Photography, and Visual Arts.  The work is to be the creative effort of the child and may be done at home or at school. 

Fall Festival  This committee works to organize and run the Fall Festival activities.  Join in on the fun! 

Field Day  This committee works to assist Lynn Hickok, MBE Physical Education teacher, with the annual student Field Day in late May or early June.   Committee members will help coordinate parent volunteers and game stations the day of the event, among other things. 

Guest Author  The guest author program involves inviting authors, poets, and illustrators to our school setting.  The committee's responsibilities involves working 2-3 weeks before the visit, and then for a 3-day period around the author visit. 

Hospitality  The Hospitality Committee provides refreshments for the monthly PTO Family Nights.  Volunteers are needed to either drop off food at the school the day of the meeting or to bring the food with them that evening.

Library Coordinator  This committee works to assist Mery Lough, MBE Librarian, with recruiting and organizing library volunteers.

Membership  This committee oversees membership dues for the PTO.  Memberships will be sold at each Family Night.  We hope you'll support the PTO by joining to help fund our many programs.  Members are eligible to vote at all General Meetings.

Newsletter  My name is Susan Madison and I produce our school newslatter.  I collect information from teachers, staff, and parents, and the produce Beeks Speaks,  which is sent home in your child's folder  every month.  I am always looking for submissions, so if you would like to help, please contact me at 961-5918.

Room Parents  This committee compiles the list of volunteers who are willing to  serve as Room Parent or to assist the Room Parent in every classroom.   The Room Parent is responsible for  classroom parties  and helping with Teacher Appreciation.

SMILES Books for Breakfast  This is a PTO program that helps kids remember that reading is fun!  We accept donations of gently used books throughout the school year, and we sponsor a book distribution party at breakfast every 3rd Thursday of the month.  All children who purchase breakfast that morning may select any book from the many that will be offered.  We need volunteers to help set up and organize the books during the breakfast, and to help the children select their books.  We will also gratefully accept your book donations any time during the year and will have a bin located near the Main Office for this purpose.  Thanks!

Spring Fair  This committee works to create and implement the annual Margaret Beeks Spring Fair, a day of carnival fun and games to raise money for the PTO and school.  Events include a dunk tank, cake walk, Silent Auction, and refreshment sales.

Teacher Appreciation  The Teacher Apppreciation Committtee offers a great way for parents to recognize and appreciate the teachers and staff that take care of our children.  Several times during the school year, parents volunteers are needed to help with special events (for example, Fall Pumpkin Bread, Holiday Massage, Winter Soup Lunch).  The first full week in May is set aside for National Teacher Appreciation Week.  There are many ways for parents to get involved to make this special week (making banners,preparing food,spending time in the classroom).  Please consider the Teacher Apppreciation Committee, where LITTLE things make  BIG differences.

Volunteers, Classroom  This committee compiles a list of volunteers willing to help the teachers with various tasks in the classroom.  Please review the  Volunteer Form in this packet for lists of available jobs. 

Volunteers, Office  As a group of volunteers, we help with answering the phone at the front desk, making copies to put in teacher mailboxes, and some small jobs such as making ice bags for the students.  These things give the office staff more time to take care of the many responsibilities necessary to keep our school running.  We work in weekly two-hour shifts on the following daily schedule:   9:00 to 11:00 a.m., 11:00 a.m. to 1:00 p.m., and 1:00 to 3:15 p.m.  It's a wonderful way to get to know the children, staff, and parents of Margaret Beeks Elementary.
